PRIVACY INFORMATION IN PLAIN LANGUAGE

What we collect.Why it may be needed.

This policy explains the website information Brilliance Academy may receive, the purposes for which it may be used, and how to contact us about a privacy request.

AT A GLANCE

A practical guide to privacy on ba.education.

Brilliance Academy operates ba.education as an information and service website for its school community. Depending on how you use the site, you may provide contact details, student and parent or guardian information, admission information, employment and recruitment information, uploaded documents, or other information needed to respond to or process your request.

This page describes the website-level privacy approach, including the Student Application and Career Application services available on ba.education. Additional notices, declarations, or consent wording may be provided within specific admission, employment, safeguarding, or school processes where appropriate.

01 · Information we may collect

The information collected depends on the service or form you choose to use. It may include:

  • Contact information such as name, email address, telephone or WhatsApp number, address, and the details included in your message.
  • Student and admission information submitted by a parent, legal guardian, or applicant, such as student identity details, date of birth, gender, religion where requested, current school, grade, sibling information, parent or guardian details, family contact details, and other information required for the admission process.
  • Recruitment and career information such as names in English or Arabic, nationality, identification or passport details where requested, residence information, date and place of birth, gender, religion where requested, marital or family information, military status, salary expectations, availability, employment history, education, qualifications, certificates, references or relatives at the Academy, and previous application information.
  • Files and documents that you choose or are asked to upload through an official Academy form, such as a photograph, résumé or CV, certificates, or other supporting records relevant to the application.
  • Technical information such as IP address, browser type, device information, pages visited, and basic security or diagnostic logs generated by the website, hosting environment, or security services.
  • Information you voluntarily provide when contacting the Academy or submitting an online request.
Some application fields may involve personal information that requires particular care. Please provide such information only through the designated Academy form and only when it is relevant to the process. Do not submit passwords, banking credentials, or unrelated sensitive information through general contact forms.

02 · How we may use information

Information submitted through the website may be used to:

  • respond to enquiries and provide requested information;
  • receive, review, assess, and administer student admission enquiries and applications;
  • receive, review, assess, and administer career or employment applications;
  • verify or clarify application details and contact applicants, parents, or guardians about the relevant process;
  • support school administration, record-keeping, safeguarding, recruitment, and operational workflows connected to the request;
  • operate, secure, troubleshoot, and improve the website and its online forms;
  • maintain records where reasonably necessary for administrative, contractual, legal, safeguarding, security, or operational purposes.

We seek to use information only for purposes reasonably connected to the reason it was collected and to limit access to people or service providers who need it for those purposes, subject to applicable requirements.

03 · Children and student information

As a school organisation, Brilliance Academy may need information relating to children or students for admission and other authorised school processes. Student Application information should normally be submitted by a parent or legal guardian, or otherwise through an Academy-authorised process.

Parents and guardians should check the information carefully before submission and should provide only information relevant to the application or school process. Where a designated form asks for information that may be more sensitive, it should be supplied only when requested for that process and by a person authorised to provide it.

Children should not independently submit personal information through general website forms unless this is part of an authorised school process and appropriate supervision or consent is in place.

04 · Cookies and similar technologies

The website may use cookies or similar technologies for essential site operation, security, preferences, performance, or embedded services. Some functionality may also be provided by third-party services that set their own cookies.

Embedded content

Pages may include embedded media or services, such as video, maps, social content, or other external resources. When you interact with embedded content, the external provider may receive technical information or apply its own privacy and cookie practices.

Where a cookie-management tool is available on the site, you can use it to manage available non-essential cookie choices.

05 · When information may be shared

Information may be accessible to authorised Academy personnel who need it for the relevant request or process. It may also be processed by service providers that support website hosting, forms, email delivery, security, analytics, or other technical functions.

Information may also be disclosed where reasonably necessary to comply with applicable law, protect rights or safety, address misuse, or respond to a valid official request.

06 · How long information is kept

Retention periods vary depending on the type of information and the purpose for which it was collected. Information may be kept for as long as reasonably necessary to handle the relevant request, maintain appropriate records, meet operational requirements, or satisfy applicable legal obligations.

Where information is no longer reasonably required, it may be deleted, anonymised, archived, or otherwise handled in accordance with the Academy’s applicable processes.

07 · Security

Brilliance Academy takes reasonable organisational and technical steps intended to protect information handled through the website. However, no website, online transmission, or storage system can be guaranteed to be completely secure.

Users should take care when sending information online and should not share passwords or account credentials through ordinary contact forms or email.

08 · Your choices and privacy requests

Subject to applicable law and the nature of the information involved, you may contact Brilliance Academy to ask about personal information submitted through the website or to request access, correction, updating, deletion, or another available privacy action where appropriate.

Some information may need to be retained where there is a legitimate administrative, safeguarding, contractual, legal, operational, or security reason to do so. The Academy may also need to verify the identity or authority of the person making a request before acting on it.

For a privacy-related request, contact contact-us@ba.education and provide enough information to identify the relevant form, application, or service and for the Academy to understand and verify the request.

09 · External websites and services

The site may contain links to third-party websites or services. Brilliance Academy is not responsible for the privacy practices of external websites. We recommend reviewing the privacy information provided by any external service before submitting personal information to it.

10 · Updates to this Privacy Policy

This Privacy Policy may be updated when website features, online services, operational practices, or applicable requirements change. The latest version will be identified by the “Last updated” date shown at the top of this page.

This Privacy Policy is intended to explain the Academy’s website privacy practices in clear language. It does not replace any specific notices, consents, agreements, or official records used in admissions, employment, safeguarding, or other school processes.
